The University of Greenwich has chosen Parabilis, provided by EGS, as its first campus-wide purchase-to-pay (P2P) solution for procuring goods and services for its 24,000 students.
The university expects the new system to deliver a return on investment (ROI) within as little as 12 months, with further savings anticipated in future with electronic invoicing (eInvoicing).
Currently, a range of electronic and paper-based procurement methods are used by budget-holders across schools, offices, institutes and departments at campuses in Greenwich, Avery Hill in Eltham, and Medway in Kent. By selecting Parabilis, the university can achieve its objective to unify procurement, standardise processes and achieve efficiencies.
As the EGS P2P system is web-based, each university budget-holder will enjoy the same 24/7 access to every supplier from a single screen at any location. They can then purchase from multiple suppliers at one time, in a single shopping basket with a single click. EGS's solution will be integrated directly into the university's finance system.
As well as removing unnecessary paperwork and accelerating the procurement process, Parabilis will also give decision-makers a clearer picture of university spending.
"With this invaluable strategic information, we'll be able to rationalise our suppliers, consolidate requirements, access collaborative agreements and negotiate contracts that offer best value," comments Vincent John, Director of Procurement and Business Services for the university.
"We aim to make an exponential shift from any position where suppliers could be providing the same goods and services to our clients - but at different prices. With Parabilis, we'll have the visibility to standardise product ranges and prices, as well as avoiding 'maverick spending' and ensuring compliance. We'll also have access to previously-negotiated contracts at the consortia level, enjoyed already by other Parabilis customers."
"We selected the Parabilis solution for its overall comparative value, including cost savings, price advantage and robustness," adds Vincent John. "EGS can 'on board' suppliers quickly, integrate with finance systems, has an available e-marketplace and provides opportunities for capitalising on eInvoicing opportunities. In addition, backing for their technology by the IDeA and support from the Higher Education Funding Council made Parabilis a preferred choice."
"We are delighted that the University of Greenwich has selected EGS over other potential suppliers!" commented Peter Whent, Chief Executive of EGS Group. "By their nature, universities are dispersed organisations. The EGS solution lends itself well to providing control in such an environment. We look forward to working with the university to deliver the proven benefits and savings that come from automating procurement and invoice processing."
Parabilis will go 'live' at the university later this year, with the two largest clients, the Facilities Management Office and the School of Computing & Mathematical Science being first to benefit from the phased implementation.
